The Preferences section allows you to manage your date and time format, email notifications, and privacy settings for your birthday and leave requests. Navigate to Settings > Preferences to review and update these options.

Date/time settings

To set your preferred date and time format, start by navigating to Settings > Preferences.

Use the Date/Time Settings located at the top of the page to choose how dates and times are displayed throughout Leave Dates. 

Date Format

Date formats use the following abbreviations:

  • DD = Day (date of the month)
  • MM = Month
  • YYYY = Four-digit year

Select your preferred date format: 

  • DD/MM/YYYY  (for example, 25/12/2025) - commonly used in regions such as the UK, Europe, Africa, and Australia.
  • MM/DD/YYYY (for example, 12/25/2025) - commonly used in the United States.



Select your preferred time format: 

  • 24-hour clock (for example, 14:30) 
  • 12-hour clock (for example, 2:30 PM)

Date Format Examples

To help you verify your selection, Leave Dates displays example dates beneath the settings.

The examples include both today's date and a fixed reference date, allowing you to easily identify which part of the format represents the day and which represents the month. This is particularly useful when the day and month could be mistaken for one another.

For example, a date shown as 03/08/2025 could mean 3 August 2025 in the DD/MM/YYYY format or March 8 2025 in the MM/DD/YYYY format. The example dates help make the selected format clear at a glance.

Select the date/time options you prefer, then click Save changes.



Privacy settings

To update your privacy settings, navigate to Settings > Preferences.

Under Privacy Settings, you’ll find two options:

  • Share my birthday (month and day only) - this enables everyone with permission to view your leave to see your birthday marked on the wall chart. It’s turned on by default so you need to turn it off to hide your birthday.


  • Mark my leave requests as private by default - When this setting is turned on, all new leave requests you submit will be marked as private. 

A private leave request is still visible to your colleagues on the wall chart, but it will simply be greyed out and just show the start and end dates of your leave. All other details of the request - such as the leave type, comments, and any attachments - will be hidden. However, your approvers and administrators will still be able to view the full details.

By default, leave requests are not private unless you manually select the Private option when submitting a request. Enabling this setting here makes privacy the default for all future leave requests instead (it won’t change your previous requests already submitted). If you do turn it on, you can still choose to remove the privacy setting for an individual request by unticking the Private box before submitting it. 

Use the toggle buttons to turn each option on or off based on your preferences.

Click Save changes to apply them.
